Position Summary

As a Benefit Supervisor, you will be part of an administration team that provides high-quality administration services to multiple clients and demonstrates outstanding and timely customer service. You must be professional, highly organized, have excellent communication skills, all while maintaining strong client relationships.

Key Responsibilities

Benefits Supervision – 70%
  • Oversee and assist in the resolution of escalated client requests, concerns and service issues.
  • Handle correspondence, emails, and phone calls, and redirecting them as necessary.
  • Oversee the staff, provide day-to-day supervision, guidance and direction, including training, scheduling and workload management
  • Supervise administrative staff and delegating tasks to ensure smooth workflow.
  • Provide training and guidance to administrative staff to enhance their skills and productivity.
  • Conduct performance evaluations and provide feedback to administrative staff.
  • Foster a positive work environment and resolve staff conflicts or issues as they arise.
  • Manage client relationships and ensure high levels of customer satisfaction.
  • Act as a point of contact for client inquiries, concerns, and feedback.
  • Collaborate with other locations to address client needs and requirements.
  • Maintain confidentiality and professionalism in all client interactions.
Office Administrator – 30%
  • Oversee daily office operations and ensure efficient functioning of all administrative processes.
  • Support the recruitment functions for vacancies in the Ottawa office, including participation in interviews, final selection and onboarding of new employees.
  • Manage office supplies, equipment, and facilities to maintain a productive work environment.
  • Develop and implement office policies and procedures to enhance efficiency and compliance.
  • Liaise with external vendors, clients, and stakeholders as necessary.
  • Maintain health and safety protocols within the office environment.
  • Provide administrative support to senior management as needed.
  • Contribute to the team effort and success of the business by completing other tasks or projects as assigned
Qualifications and Attributes
  • 3-5 years of benefit administration and/or experience administering, interpreting and communicating health plans; ideal candidate will possess some Canada benefits experience.
  • Understanding of applicable government regulations, extensive knowledge of employee benefits plans.
  • Working knowledge of health and benefit plan databases.
  • Strong attention to detail and commitment to accuracy in work.
  • Excellent customer service skills, proactively providing comprehensive service and information.
  • Good organizational skills and ability to prioritize tasks, meeting service standards and response times.
  • Well-developed analytical, decision-making, and problem-solving abilities.
  • Excellent written and interpersonal communication skills.
  • Proficiency in Microsoft Office and standard office administration procedures.
  • Maintain professionalism and tact in a dynamic team environment.
  • Bilingualism (English and French) is an asset.
  • Successful completion of a cleared criminal background check is required.
