COORDINATOR, CORPORATE AFFAIRS

The Opportunity
We are in search of a Coordinator, Corporate Affairs who will play a pivotal role in supporting the Corporate Affairs Division and Board of Directors. You play an instrumental role in implementing governance best practices, ensuring regulatory compliance, and driving the seamless execution of BCFS Board and Committee meetings and Quarterly Ferry Commissioner meetings, including coordination and distribution of all relevant agendas and pre-reading materials.
Working closely with the General Counsel & Corporate Secretary, and under the functional direction of the Manager, Regulatory & Assistant Corporate Secretary, you are responsible for orchestrating critical governance activities, planning and coordinating Board and Ferry Commissioner meetings, updating compliance policies and manuals, minute book maintenance, regulatory filings, budget management, meeting minute-taking and distribution, travel arrangements and managing records and documents.
The Role
Reporting directly to the General Counsel and Corporate Secretary, you add value and are energized by key areas of oversight such as:
- Serving as the primary operational contact for Corporate Affairs, fostering collaboration and being the conduit for accountabilities across all departments, including finance, human resources, and other corporate functions;
- Ensuring priorities are aligned and effectively communicated with internal and external stakeholders;
- Leading the planning and execution of all Board and Ferry Commissioner meetings, including distribution of agendas and pre-reading materials, coordinating presenters and all meeting logistics including meals & travel planning for meeting attendees to deliver a seamless and professional facilitation;
- Coordinating the collection and distribution of regular and ad hoc reports to Ferry Commissioner, Province, BCFS and BCFA as required;
- Proactively updating compliance policies and governance manual to reflect evolving organizational and regulatory needs;
- Acting as the administrative liaison with BC Ferry Authority staff for processing invoices, expenses, and Board fees.
- Ensuring accurate tracking and record-keeping, while serving as the point of contact for all other administrative inquiries, including the delivery and management of critical documentation;
- Serving as the primary point of contact for onboarding new Corporate Affairs employees, ensuring they receive the necessary equipment, application access, and access to knowledge to successfully integrate into the team;
- Overseeing the management of purchase requisitions, purchase orders, and invoice payments, while coordinating with the Accounts Payable team to ensure timely processing and compliance;
- Preparing the annual fiscal budget and managing overall expenditures, completing monthly budget forecast and variance reporting, and providing regular updates to the General Counsel and Corporate Secretary on performance, ensuring accuracy and alignment with Finance division guidelines;
- A post-secondary diploma or certificate in business or office administration.
- Minimum 4-6 years of experience in a corporate governance setting, including a role supporting a Board, planning and budgeting.
- Exceptional interpersonal skills, enabling you to cultivate productive relationships at all levels, both internally and externally.
- Excellent interpersonal skills and organizational, communication, and time management abilities.

Additional information
The target salary range: $64,600 - $80,700 per annum. The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity. Starting salary may exceed the target range on exceptional basis.
