Quality Assurance Specialist
This role is responsible for ensuring Chemsynergy’s SOPs aligns with industry best practice. The incumbent in this role is involved in the creation of risk and quality management strategy, contributes to the development of Company policies and procedures, ensures that all Standard Operating Procedures (SOPs) are accurately maintained, and staff are trained to follow the outlined procedures.
Regulatory Compliance- Manage all regulatory information related to Company products
- Create product specification and certificate of analysis templates
- Create Safety Data Sheets to Health Canada requirements for non-hazardous products
- Coordinate responses to customers and coordinate with suppliers to ensure that we have the various regulatory documents on hand for each product we sell
- Obtain End Use statements from domestic and international customers as required
- Obtain and maintain Safety Data Sheets (SDSs) and product documentation provided by suppliers
- Monitor and report on all activities, processes, and procedures
- Obtain Non-Conformance Reports and ensure accurate and sufficient information
- Assist the Director, Operations with prepping for third-party auditors
- Keep up to date with industry best practices for quality control
- Approve and set up of products for sampling
- Troubleshoot any lot discrepancies with the warehouses
- Comply with the Change Control Procedure regarding SDSs and specifications
- Develop internal auditing tools and conduct internal audits and reports
- ·Complete Quality questionnaires for customers and suppliers as required
- Review all Non-Compliance Reports (NCRs) for completeness and accuracy
- Complete NCRs for suppliers, customers, and carriers
- Re-test for stock and customers by extending shelf life or coordinating with lab or supplier for product testing to get new CoA.
- Enter new CoA into applicable system.
- ·Coordinate with disposal company to ensure the disposal of damaged and expired product at Company location
- Assist the Director, Operations with the building of the food quality program including but not limited to HACCP, PIP, Organic Certification and SQF.
- Assist the Director, Operations with the building of the sustainability program including but not limited to EcoVadis.
- Obtain Certificates of Analysis (CofA) from suppliers for new products and product comparisons
- Respond to questions from the accounting and sales teams related to duties
- Support annually with the Duty project
- Create free trade agreements (CUSMA and USMCA) annually and review for approval when created by alternative Chemsynergy personnel
- Complete customs B2 submissions where needed, report errors to customer via e-mail, and follow up on any credit memos that may be due
- Prepare and maintain quality management documentation and regulatory files in good order
- Process orders and purchase order holds
- Perform product assessments and regular inspections and reviews to ensure adherence to regulatory and quality standards
- Assist with the development of Company policies, processes, and procedures
- Evaluate and identify opportunities to drive process improvements
- Prepare meeting agenda and distribute to team members
- Provide customer service support as required and handle customer regulatory requests
- Generate reports (as required and enter into Company systems)
- Participate in Responsible Distribution (RD) initiatives as required
- Inactivate product, supplier, and customer in Company systems once approved
- Post-Secondary education in related field
- 2-5 years’ experience in regulatory affairs, dealing with regulatory authorities an asset
- ·2-5 years’ experience in quality assurance position
- 2-5 years’ experience in the food/food chemical sector an asset
- Proficiency with Microsoft Office (Word, Outlook, and Excel)
- Certificate in Regulatory Affairs or Quality Assurance is an asset
- Knowledge of Canadian Packaging and Labelling Regulations
- Knowledge of SQF and EcoVadis requirements
