Maintenance Planning Administrator

Responsibilities:
What You’ll Be Doing- Provide administration support for the planning and work order functions
- Ensure accurate tracking of data for shop performance KPI’s
- Ensures accuracy of the shop statistical performance data on manpower and utilization and updates reports daily.
- Keep track of all site contract labor hired and reconcile at the end of each month for billing.
- Run required reports and submit.
- Update and maintain vacation schedule for site planner employees.
- Update manpower and location list on a monthly basis; enter on the company’s intranet.
- Maintain emergency contact information for all planning employees.
- Support Equipment superintendent administration needs
- Open and close maintenance work orders based on Planner’s direction.
- Input parent / child components.
- Complete component C/O sheets and file.
- Assist in developing bill of materials on model work orders.
- Record and prepare oil samples for shipment.
- Develop and maintain work order documentation to ensure records are accurate and up to date.
- Compile, format and input equipment related information.
- Ensure proper records management and documentation measures are taken.
- Maintain work order document control filing process for all work planning documents.
Qualifications:
What Makes You the ONE- Three years of experience relating to office administration.
- Related experience in equipment planning.
- High School Diploma.
- Related Office Administration Diploma/Certificate supplemented with specialized training in business administration.
- High level of proficiency with Microsoft Office (intermediate or advanced in Word, Excel, Outlook, PowerPoint).
- Business letter writing skills and basic report preparation.
- Equipment planning training is an asset.
- Excellent English (spoken/written/grammar/punctuation); detail oriented; superb organizational skills.
- Able to multitask under tight deadlines; set priorities; perform responsible and difficult administrative and secretarial work involving the use of independent judgment and personal initiative; be able to work independently in the absence of supervision.
- Polished and professional with strong attention to detail, efficient and extremely organized. Must maintain confidentiality; work in a team environment and have excellent interpersonal/communication skills.
- Other duties as assigned.
