Overview:
Position Summary
The Collision Receptionist serves as the first point of contact for customers entering the OEM-certified collision center. This role is responsible for providing a friendly, professional welcome while managing front desk operations, answering inquiries, coordinating appointments, and supporting administrative tasks for the collision team.The Collision Receptionist ensures a smooth customer experience by maintaining organized communication between customers, estimators, technicians, and dealership departments.
Responsibilities and Qualifications:
Key Responsibilities- Greet customers warmly and assist with check-ins for collision repair appointments.
- Answer incoming phone calls, respond to inquiries, and direct customers to the appropriate team members.
- Schedule repair appointments and manage the collision center’s daily calendar.
- Assist customers with initial paperwork, repair orders, and information collection.
- Maintain a clean, professional, and welcoming reception area.
- Support estimators and administrative staff by organizing documentation, scanning, filing, and data entry.
- Communicate with customers regarding appointment reminders, follow-up information, and general updates.
- Coordinate with internal departments such as parts, service, and sales when needed.
- Assist with customer satisfaction follow-ups and final vehicle delivery paperwork.
- All other duties as assigned by leadership.
- Previous receptionist or customer service experience preferred; automotive or dealership experience is an asset.
- Strong communication and interpersonal skills with a friendly, customer-focused approach.
- Excellent organizational and multitasking abilities in a fast-paced environment.
- Comfortable using phones, computers, scheduling systems, and email communication.
- Professional appearance and demeanor.
- Ability to work both independently and collaboratively with a team.
