The employee in this position will be required to interact with customers and third parties who understand and communicate only in English. This position also requires the candidate to be able to interact fluidly with colleagues in our offices across Canada, where English is the predominant language.As we estimate that more than 60% of the work required by this position must be carried out in English, the language requirements for this position are a high level of writing and reading comprehension, as well as a beginner's level of oral communication.
This position is based out of Montreal. McCarthy Tétrault employees benefit from a hybrid work environment.
As a Bilingual Legal Assistant, Real Estate Law and Business Law, you will be:
- Preparing and drafting documents, as required, for extra-provincial annual maintenance, registrations and cancellations, and amendment of documents as regards to name changes, change in number of administrators and change of head office.
- Distributing and managing mail for the paraprofessional team and providing daily support to business law paraprofessionals.
- Uploading documents to closing binders and preparing correspondence.
- Maintaining the share certificates library and the company’s databases (ALF and EnAct).
- Filing documents in the minute books and in the firm’s document management system.
- Providing ongoing support when assistants are absent; providing support to assistants who may be managing multiple tasks and/or tight deadlines; and working proactively as a positive and productive team member.
- Coordinating and assigning tasks to be carried out to various resource groups, including document specialists, administrative clerks, billing analysts, etc., as needed, while ensuring that tasks are completed within an appropriate time frame.
- Coordinating meetings, including room reservations, and arranging for needed catering or audiovisual equipment.
- Maintaining and updating professional knowledge and technical skills by identifying and taking part in training opportunities.
- Ensuring quality and precision in all your work and striving to accomplish your tasks within reasonable time frames.
As our ideal candidate, you will distinguish yourself by the following profile:
- Legal assistant diploma or equivalent.
- At least three years’ experience as a legal assistant.
- Bilingualism (French and English, oral and written).
- Extensive knowledge of legal terminology along with court rules and procedures.
- Strong attention to detail and superior word-processing, spelling, proofreading and editing skills.
- Ability to complete tasks with speed and accuracy.
- Strong time management, organizational and multi-tasking skills and ability to work under pressure to meet important deadlines.
- Ability to follow up on files and delays with minimal supervision.
- Highest level of discretion and confidentiality.
- Considerable flexibility to work overtime when needed.
