We are looking for a detail-oriented and welcoming Corporate Office Receptionist to join our team in Vancouver, British Columbia. In this temporary/contract position, you will play a pivotal role in ensuring the smooth operation of our corporate office by managing reception duties, maintaining office facilities, and supporting team-building initiatives.

Responsibilities:

  • Greet and assist guests, contractors, and service providers, ensuring they feel welcomed and supported throughout their visit.
  • Manage incoming calls on a multi-line phone system, promptly directing inquiries to the appropriate team members and maintaining call logs.
  • Oversee visitor check-in processes, including maintaining the digital visitor management system and ensuring health questionnaire records are tracked when required.
  • Coordinate the arrival of new employees, contractors, and auditors by issuing access passes, taking photos for SharePoint, and ensuring onboarding materials are prepared.
  • Maintain inventory of business gifts and promotional items, tracking usage and updating catalogues and SharePoint records.
  • Ensure the reception area and nearby meeting spaces remain clean, organized, and equipped with functioning technology.
  • Process incoming and outgoing mail and courier packages, distributing items accurately while tracking and optimizing shipping costs.
  • Update various office documents, calendars, and floor plans, ensuring information is current and accessible on SharePoint.
  • Support monthly expense processes, including reviewing and coding Corporate MasterCard transactions and submitting approvals in a timely manner.
  • Act as the key onsite contact during crisis management situations, addressing security and maintenance issues promptly.
