Responsibilities:
Your Daily Life with Us:
As an Administrative Assistant, your days will be varied and rewarding. You will have the opportunity to:
- Support Project Report Writing: Participate in editing, formatting, and writing reports related to environmental projects. You will ensure each document meets project requirements and is ready for client presentation.
- Write and Support the Preparation of Proposals: In collaboration with project teams, play a key role in drafting and formatting proposals, ensuring they are coherent, complete, and compliant with client requirements and the request for proposals.
- Proofread and Format Documents: Be responsible for proofreading and formatting documents produced by various departments, including resumes, project sheets, and other communication materials.
- Photocopy and Digitize Documents: Handle the photocopying and digitizing of administrative documents, ensuring they are organized and properly stored.
- Bind and Manage Documents: Manage the binding and organization of printed documents (laminating, comb binding, etc.).
- Perform Accounting Tasks: Assist the team with purchase orders, invoice scanning, and other administrative tasks related to accounting.
- Receptionist Duties: Occasionally, you will be responsible for welcoming clients and visitors in both French and English.
- Assist with Various Administrative Tasks: Provide support for other administrative tasks as needed by the team.
Qualifications:
What Will Set You Apart:
- Degree in Office Administration or Secretarial Studies
- 7-10 years of experience in a similar role, with expertise in writing and formatting reports and proposals
- Excellent command of French (written and spoken)
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), with competency tests for Word, Excel, and Adobe Acrobat Pro
- Attention to detail and organization in managing administrative and writing tasks
- Ability to work under pressure and handle multiple priorities simultaneously
- Flexibility and versatility: You will work with multiple teams and must be able to adapt to various needs
