What you will be doing:
- Develop and implement work processes and procedures such as engineering document control, transmittal/submittals, correspondence control, contract or vendors data management, standards management, project standards and document numbering
- Provide an organized classification and document naming structure used to effectively manage, locate, and store documents produced within the selected document repository environment, while ensuring their security and integrity
- Maintain document management system in line with the needs of the project through the project lifecycle
- Manage the intake, filing, retention, updating, and issuance of project-related documentation to support construction activities throughout all phases of the project, including drawings and AutoCAD files
- Manage document management department and providing effective direction and motivation of the departmental staff
- Ensure all document management equipment is maintained
- Maintain and manage document management budget
- Create and implement detailed work instruction to support the approved project procedures and supervise the day-to-day activities of document management staff
- Maintain vendor, construction, and engineering turnover documentation packages in electronic and physical document repository environments
- Collaborate with the necessary departments to ensure that the document control practices used comply with the project requirements
- Work closely with various projects groups to ensure they achieve maximum efficiency in document handling
- Conduct a periodic audit to ensure consistency and accuracy of project records
What we are looking for:
- Bachelor’s degree in Engineering, Library and Information Science or other relevant discipline will be considered an asset
- A minimum of 10 years of experience in document control field with at least 5 years or experience in a lead/manager document control role
- Proficient with MS Office Suite applications (Word, Excel, Power Point and Outlook) and collaboration platforms such as SharePoint, E-Builder and BIM 360
- Experience with either Aconex, Asite, Unifier or other document management software
- Excellent written and verbal communication skills
- Acute attention to detail
- Ability to work autonomously and with the ability to effectively manage multiple priorities and timelines
