Job Description:

POSITION SUMMARY: Under the direct supervision of the Supervisor – Accounts Payable, administer the payment process to vendors and reimbursements to employees.

MAJOR RESPONSIBILITIES:

  • Process vendor invoices, employee expense reimbursement forms and other Authorization for Payment forms.
  • Process weekly cheque and Electronic Funds Transfer (EFT) runs to pay to vendors.
  • Perform bank uploads for EFT payments.
  • Verify cheque and EFT copies to support documents and file same while ensuring the correct signing authorities have been obtained.
  • Open, stamp, and sort incoming accounts payable mail.
  • Liaise with City employees and vendors for payment enquiries.
  • Maintain file systems for vendors and participate in maintaining vendor system master records.
  • Review vendor statements for outstanding invoices and credits.
  • Process cheque cancellation and the reissue of cheques as needed.
  • Verifies that invoices are posted in the correct year.
  • Log all legal invoices into spreadsheet software.
  • Annually participate in the Corporate records management program in accordance with established City Archive Policy.
  • Perform other related duties as required.

QUALIFICATIONS:

Education/Experience:

  • Secondary school graduation; and
  • Post secondary courses in accounting; or
  • Equivalent combination of education and experience
  • Previous accounts payable experience is desirable.

Skills/Abilities:

  • Ability to accurately perform mathematical calculations
  • Ability to communicate effectively and concisely, both orally and in writing
  • Must be able to deal tactfully and courteously with the public and other employees
  • Strong organizational skills
  • Ability to effectively work independently and in a team environment
  • Must be at a basic skill level in spreadsheet software, basic skill level in word processing and must be proficient in on-line data entry

Assets:

  • Experience with SAP software

CONDITIONS OF EMPLOYMENT:

  • Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
