Location: Shell Scotford - Fort Saskatchewan, AB / Edmonton Corporate Office
Position: Project based / Full-Time (2 months)
Work Schedule: Pre-Turnaround - 4 on and 3 off, working 10 hours per day / Turnaround - 6 on and 1 off, working 12 hours per day
Reporting to: Construction Time Administrator Lead
Shift: Day Shift - 2 / Night Shift - 1

Job Purpose

The Construction Time Administrator is primarily responsible for ensuring timesheets are entered and LEMs are created in a timely and accurate manner.

Responsibilities:

  • Displays a commitment to Waiward’s incident-free vision, values, and culture.
  • Enters labour hours for construction employees daily.
  • Enters equipment hours for construction sites daily.
  • Inputs travel and subsistence amounts into Steelworks for payment to employees and inclusion on LEMs.
  • Completes reconciliation of labour and equipment hours.
  • Creates LEMs for each active job daily including any relevant back up information (invoices, etc).
  • Reviews LEMs to ensure accuracy for labour, equipment, and travel.
  • Provides created LEMs with required backup to project management for review and submission to client for approval (submits directly to the client when requested).
  • Updates LEM status upon receiving signed LEMs back from project management.
  • Completes corrective entries for time entry and/or LEMs if changes are required.
  • Uploads LEM data to client systems.
  • Reviews and completes site specific forms.
  • Provides coverage for weekends and vacations for Site Administration team.
  • Works with the Cost Controls group on any discrepancies or missing items related to LEMs.
  • Ensures signed LEMs are saved with all related backup in project folder.
  • Provides additional administrative support for sites as required.
  • Works closely with the Construction Time Administrator Lead on any other tasks as required.

Qualifications:

  • High School Diploma
  • Proficient in Microsoft Office (Excel, Word, Outlook, etc.)
  • On site experience in the construction industry is an asset
  • Minimum of CSTS-09/2020 and OSSA Regional/BSO/CSO certifications are required
  • Excellent written and verbal communication skills
  • Ability to prioritize a large workload while displaying an excellent attention to detail
  • Ability to adapt to changing priorities and demonstrate exceptional problem-solving skills

Working Conditions

This position will be either based on the Shell Scotford Project Site based in Fort Saskatchewan, AB or based from our corporate office in Edmonton, AB. Depending on the project, this position may be required to stay at camp, and travel to and from multiple sites on a short-term basis.

The incumbent is required to work in an office environment on site with little to moderate noise and small spaces. The incumbent must be prepared to walk outdoors in inclement weather, including winter conditions and slippery surfaces, and may occasionally need to carry moderate loads.

Additionally, the role may require regular driving between locations and the ability to function effectively in an office environment for administrative tasks.

Physical Requirements

The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal for extended periods of time; and extensive reading. The incumbent is also required to sit for extended periods of time and communicate with construction employees regularly.
