Part-Time, Contract, Operations Specialist and Office Administrator
Overview:
Contract assignment through March 2026.
The Operations Specialist & Office Administrator will be responsible for supporting the design & development activities for Lithium-Ion batteries in the industrial Motive Power and military vehicle markets by providing operational services such as procurement, shipping, receiving, logistics and inventory management.In addition, the successful candidate will assist the Director, Engineering (Chargers & Process) with facility management and administration.
This is a part-time position requiring at least 24 hours (3 days) per week, during normal business hours. Requires you to be on site.
Responsibilities:
Operations Services- Placing purchase orders in Coupa or JDE applications
- Tracking inbound shipments and providing updates on tracking information to requestors
- Receiving deliveries, updating PO’s in Coupa or JDE and providing material to requestors or into inventory stock as appropriate; reconciliation of discrepancies or damaged goods as necessary
- Preparing a variety of materials for domestic and international shipment, including hazardous materials, following all trade and import/export compliance regulations
- Creating and/or filing all outbound and inbound shipping documents as required
- Enter invoices into DMAX application, code to proper cost center and G/L accounts and route for approvals
- Manage inventory both in JDE ERP system and physically in the facility
- Cycle count materials and provide updates to Finance, including 100% physical inventory annually
- Operate manual and power-assisted walk-behind fork trucks
- Physically pack and unpack goods for shipping & receiving
- Maintain all required certifications and training to complete above tasks
- Purchase and stock general office supplies (printer paper, toner, batteries, stationary, hot and cold beverages, etc.)
- Report general maintenance issues to the landlord’s on-site representative and the Director and coordinate repairs
- Participate in the Joint Health & Safety Committee, either as full team member or administrative assistant
- Assist in planning, coordinating and hosting periodic office events
- Liaison with IT and Corporate HQ as required to maintain office environment and equipment
Qualifications:
- College Degree in related field, or High School Diploma plus equivalent experience required
- 3-5 years experience in logistics, warehouse operations and procurement
- Transportation of Dangerous Goods (TDG) Certification (Air & Ground) required – will be provided by Stryten if necessary
- Controlled Goods certification required – must pass security screening and background check
- Proficiency in both domestic and international inbound and outbound freight including preparation of required paperwork
- Strong communication, time management and interpersonal skills
- Must be self-motivated and ambitious, ability to organize and prioritize daily work with the ability to successfully perform multiple tasks with strict deadlines
- Highly motivated problem solver with meticulous attention to detailMS Office skills especially Outlook, Word, Power Point, and Excel
- Experience in use of ERP systems is a plus
- Office based environment
- Physical labor component: move and lift goods weighing up to 25 kg / 50 lbs. repeatedly
Must be eligible to work in Canada either as a Canadian Citizen or Permanent Resident and be eligible for Canadian Controlled Goods certification.
