Overview:

Directly reporting to the Engineering Manager, the Administrative Assistant is focused on providing confidential administrative services and support to the Engineering Manager.

Responsibilities:

  • Maintain confidentiality of proprietary materials and information.
  • Protect the privacy and security of guests and coworkers.
  • Follow company and department policies and procedures.
  • Assisting with administrative duties including
  • opening, sorting and distributing all incoming mail and faxes.
  • maintaining the Engineering filing system.
  • ensuring confidential documents and proprietary information is handled and filed in the approved manner.
  • typing and reviewing reports, spreadsheets, letters and other documents.
  • answer telephones
  • ordering parts and materials
  • coordinating contractors
  • dispensing and tracking work requests
  • scheduling inspections
  • Ensure all purchase orders are entered into the purchase order log, matching incoming invoices with purchase orders.
  • Address guests' service needs in a professional, positive, and timely manner.
  • Actively listen and respond positively to guest questions, concerns, and to resolve issues, delight, and build trust.
  • Anticipate guests' service needs, including asking questions of guests to better understand their needs and watching/listening to guest preferences and acting on them whenever possible.
  • Thank guests with genuine appreciation and provide a fond farewell.
  • Assist other employees to ensure proper coverage and prompt guest service.
  • Develop and maintain positive and productive working relationship with other associates and departments.
  • To look out for the safety of yourself, co-workers and to follow all Health and Safety requirements in the workplace.
  • Other duties as assigned

Qualifications:

  • High School diploma or equivalent
  • Experience in trades, industry, or construction is an asset.
  • 1 to 2 years as an Administrative Assistant or equivalent.
  • The preferred candidate will
  • Be familiar with purchase orders and good purchasing practices.
  • Have excellent administrative skills including a working knowledge of Microsoft Word, Excel, PowerPoint and Outlook skills, and maintaining a file system.
  • Have a strong knowledge in parts, materials, and tool ordering.
  • Have some experience in parts stocking and inventory.
  • Have excellent interpersonal and organizational skills, paying strong attention to detail.
  • Be a fast learner and a self-starter.

This position is to report to work five (5) day per week and if required, may be instructed to work additional time due to any special events that may be occurring at River Cree Resort & Casino.
