Facilities Coordinator

Position Description:
  • The ideal candidate for this role will have a minimum of 3 years’ experience as a Facilities Coordinator where they have maintained multiple locations.

Most importantly, they will be proactive and have highly developed teamwork and interpersonal skills Your future duties and responsibilities: -Responsibility for day-to-day buildings operation management, including safety and regulatory checks

  • Direct Liaison with Landlords, Property Managers and Cleaners as it pertains to Facility related items
  • Work closely with CRE in the design planning of new and existing office renovations including member relocations, furniture procurement etc.
  • Manage the security (access requests, alarm investigations, etc.), cleaning, maintenance (planned and reactive), safety (evacuation drills, training, ergo requests) and service the offices to ensure a safe and comfortable working environment for members
  • Work with Manager for the procurement of facilities contracts, implement best practices to improve efficiency, and to constantly strive to reduce operating costs and increasing productivity
  • Work with Manager to develop Budget and expenditure planning (Purchase Orders) and management including proactive review of all tenders/contracts and detailed reporting on same
  • Help negotiate contracts with external vendors for all facilities services, equipment and office products (including purchasing)
  • Responsible for annual audit process (maintain registry and prepare for audit with Manager)
  • Responsible for misc.
reports (security, energy, paper consumption, etc.)
  • Look to optimize space planning, internal moves and office utilization
  • Reporting to Facilities Manager on Facilities Management and making recommendations where relevant
  • Project management, supervision and coordination of work of contractors, vendors and team members
  • Responding appropriately to emergencies or urgent issues as they arise and resolving same in a timely manner
  • Coordinating facility requests from staff/members and responding to same in a timely manner
  • Occupancy Reporting
  • Event planning (provide guidance, assistance when required)
  • Be the backup for team members when required.
  • Other duties as required Required qualifications to be successful in this role:
  • Minimum of 3 years’ experience in a similar position and environment is essential.
-Experience managing a facilities team, with oversight of day-to-day work and management of their performance and professional development is an asset.
  • Demonstrated experience in budgeting, space planning and management of multiple locations
  • Project Management experience is an asset.
  • Technical knowledge of building and mechanical systems (Hvac, generators) is a asset.
  • Exceptional administrative and organizational skills with an ability to work to, and implement processes
  • Excellent verbal and written skills in both French and English
  • Proven record of accomplishment of accountability, problem solving driving results.
  • Ability to influence at all levels of an organization and build relationships with both staff/members and the Senior Management Team
  • High level of customer service experience and professional, friendly & flexible attitude required
  • Computer literacy and advanced level knowledge of Powerpoint, Excel, Word and MS Project
-Ability to work independently, in a fast-paced environment
  • Attention to detail (writing reports, site inspections, etc.)
  • May be required to travel/visit other sites on occasion (within Quebec)
  • Ability to deal with crisis situations and emergencies
-May be required to work after hours in case of an emergency #LI-LG1 Bilingualism (French and English) is required for this position due to the nature of the role requiring interaction with national and global clients.
