Job Description

The Credentialing and Recruitment Specialist provides administrative support in the Medical Affairs/Medical Staff Office for the credentialing and recruitment of physicians/dentists/midwives at Osler. The position assists with the application process and requires confidentiality working with both applicants and the College of Physicians and Surgeons of Ontario on practice matters.

This position is also responsible for the full range of credentialing functions for privileged professional staff (due diligence and documentation required for credentialing/re-credentialing, appointment and reappointment and onboarding; and ongoing support).

Priority of this complex role is to carry out the duties as per the Public Hospitals Act, Osler professional staff bylaws, and policies and procedures to ensure the successful completion of the credentialing and recruitment process for professional staff at Osler.

Given that the position involves numerous steps, attention to detail and accuracy is required as processes evolve.

Accountabilities:

  • Upon receipt of applications from the Senior Advisor, Credentialing and HOCC, initiate and process new applications for professional staff wanting to practice at Osler
  • Coordinate temporary privileges upon request by the Senior Advisor in order to meet specific requirements or meet an urgent need for coverage as outlined in the professional staff bylaws
  • Review, track and evaluate all credentialing documentation and ensure requirements are complete in order to proceed with the application process
  • Perform due diligence to identify any concerns that arise to the Senior Advisor, Chief/Program Medical Director and Director, Medical Affairs, immediately to determine how they will be addressed
  • Meet weekly with the Senior Advisor to review applications in process and identify those completed and ready to be presented at the credentials committee; advise Chief/Program Medical Director when applications are ready to be placed on the agenda of the credentials committee
  • Attend meetings of the credentials committee and minute meetings at the request of the Senior Advisor, Credentials and HOCC
  • Upon recommendation by the medical advisory committee to the Board that a physician be granted privileges at Osler forward the letter from the Chief of Staff to the applicant to advise them of the MAC recommendation
  • Once an applicant’s privileges are approved by the Board of Directors forward the letter from the President and CEO to the applicant and begin the onboarding/orientation process, which includes obtaining photo ID badge; parking; access to hospital; orientation session to learn about relevant policies and processes at Osler; relevant payments; provide physician leadership organization chart and answer any questions that physicians may have about the hospital
  • Coordinate, initiate and oversee the performance review process for new physicians through Emperform and forward to the Chief/Program Medical Director for completion and recommendation whether to move an associate member to active privileges
  • Once review is completed by the Chief/Program Medical Director advise the Senior Advisor and request that the recommendation be placed on the agenda for the credentialing committee
  • Once recommendation has been processed and moved through to the medical advisory committee and ultimately approved by the Board of Directors forward the letter from the President and CEO advising of the move from associate to active status to the physician
  • Communicate effectively with Senior Advisor; Director, Medical Affairs; Chief/Program Medical Director and Chief of Staff in relation to applications in process
  • Point of contact and resource for the credentialing and recruitment processes and respond to physicians making general enquiries about opportunities to obtain positions at Osler
  • Work with CMARS credentialing system and identify any concerns or potential for improvements to the Senior Advisor
  • Participate with Senior Advisor to develop strategy for the annual application for reappointment process with the goal being to begin the process in February to be completed by March each year
  • Administer medical staff database (e.g. Meditech, physician directory, CMARS electronic application and reappointment programs and Emperform)
  • Maintain and distribute current physician listing for physicians and distribute to departments as required (i.e. Locating, Communications)
  • Produce reports, draft letters and other documentation as requested by Senior Advisor, Manager or Director, Medical Affairs
  • Upon the request of the Senior Advisor, Recruitment and Contracts, develop ads for positions available within the various medical departments; share ad content with the respective physician leader and Senior Advisor; post ads internally within the hospital; receive applications for positions and share with the physician leader, Senior Advisor and Director, Medical Affairs
  • Schedule interview panels and invite participants as determined by the physician leader; prepare interview materials for panel members; attend interviews with candidates; ensure all documentation shared with panel members is returned to the Medical Staff Office after the interviews and filed;
  • Ensure reference check is completed by the respective physician leader on external candidates prior to moving forward to the next step of the process; these are verbal reference checks completed by the physician leader
  • Prepare offer letter for the successful candidate and in the case of a physician leader, prepare contract as requested by the Senior Advisor and/or Director, Medical Affairs
  • Forward information on the approved candidate to the Senior Advisor, Credentialing and HOCC, to enable the application for privileges process to be initiated
  • Work with the Senior Advisor, Recruitment and Contracts, on the implementation of the Smart Recruiters system to enable Medical Affairs/Medical Staff Office to streamline the recruitment process for physicians; track applications; and create a data base for each department that is readily available when needed;
  • Attend external recruitment fairs for physicians as requested by the Manager and Director, Medical Affairs
  • Extracting statistical reports from CMARS upon request by Director, Medical Affairs and/or Chief of Staff
Qualifications
  • Minimum of three years administrative work experience in a hospital or similar health care setting
  • Excellent oral and written communication skills and ability to interact with all levels of physicians and staff
  • Excellent organizational and time management skills with the ability to prioritize and efficiently manage multiple assignments
  • Ability to work within a strong cohesive team structure
  • Possess a strong client focus and willingness to learn and understand the application of the Public Hospital Act, CPSO policies and professional staff bylaws
  • Knowledge and experience in recruitment and credentialing practices would be an asset

Hours: Currently days (subject to change in accordance with operational requirements)

This role is Onsite First: Roles that frequently support direct patient care and have dedicated hours when they are available to patients, team members and/or other partners
Salary:
Minimum: $60,216
Maximum: $75,270
