Are you an organized, detail-oriented professional who thrives in fast-paced environments? We have an exciting opportunity for an Administrative Assistant to join our dedicated and hard-working team in supporting the Regional Clerk and Director of Clerks and our outstanding Clerk’s Division
In this role, you'll gain exposure to a wide range of activities across the organization, from front-line operations to executive leadership. Your ability to juggle multiple tasks while providing exceptional administrative support will be key to the success of this role.
What You’ll Do:
As an Administrative Assistant, you'll play a vital role in ensuring seamless operations by providing high-level administrative support. Your responsibilities will include:
- Manage executive schedules by prioritizing, coordinating, and scheduling appointments, meetings, travel, and deadlines for the Director.
- Stay organized by maintaining filing systems, reports, and documentation, and effectively managing follow-ups to ensure smooth workflows.
- Handle incoming communications with finesse, including mail, requests, and reports, while ensuring timely responses.
- Prepare and review documents such as memos, emails, reports, and presentations, ensuring they are polished and accurate.
- Support team meetings by scheduling, preparing agendas, taking minutes, and keeping action items on track. Assist with preparation of set up for Council and Committee Meetings.
- Serve as backup to administrative assistants across the division when needed.
- Ensure confidentiality in all tasks, liaising with internal and external contacts, including the Executive Leadership Team (ELT) and Regional Council members.
- Process employee paperwork, expenses, invoices, and reconciliations with attention to detail and accuracy.
- Anticipate needs and innovate by constantly seeking new ways to improve processes and enhance the team’s efficiency.
- Promote corporate values and principles while managing politically sensitive issues and fostering a culture of collaboration and respect.
What the role requires:
- Successful completion of post-secondary administrative studies or human resources program plus relevant human resources experience
- Previous experience working for a manager, director or executive level position
- Combination of education and experience may be considered
Skills/Abilities:
- Advanced MS Office applications, especially MS Word, Excel, PowerPoint, Visio, SharePoint and OneDrive and PeopleSoft
- Ability to work within a political environment and demonstrated political acuity
- Good interpersonal skills and committed customer service focus
- Strong communication skills (both oral and written)
- Demonstrated critical thinking skills
- Ability to deal with shifting priorities
- Ability to compile, organize and analyze information
- Solid understanding of the organization and Council
- Practices a high degree of professionalism, confidentiality, discretion, tact and diplomacy

In this role, you'll enjoy the flexibility of a hybrid work arrangement. This means you'll have the ability to work off-site and on-site as needed, depending on operational needs at the 10 Peel Centre Drive, Brampton worksite. The frequency of on-site work may vary from week to week, depending on operational demands, which can evolve over time.
It's important to note that your off-site work location must be within the province of Ontario. This ensures that we're compliant with all regulations and policies.
