We are offering a short term contract employment opportunity for an Administrative Assistant in the Non-Profit sector, based in Newmarket, Ontario. The role is focused on providing administrative support across two programs within a 100% onsite office environment.

Responsibilities:

  • Coordinate and set up Zoom meetings, ensuring smooth communication across the programs
  • Manage budgets, including organizing and coding invoices, and forwarding them for signatures
  • Handle employee change forms, maintaining a level of confidentiality and detail orientation
  • Generate reports from in-house systems and Microsoft Excel to support decision-making processes
  • Assist with the creation and management of recruitment and termination documentation, ensuring all processes are followed thoroughly
  • Screen incoming phone calls, providing first line of contact and redirecting calls as necessary
  • Order office supplies, ensuring the smooth running of the office
  • Attend meetings and take minutes, demonstrating confidence and accuracy in recording meeting outcomes
  • Perform receptionist duties, including covering lunches, to ensure continuous service availability
  • Handle email correspondence, maintaining efficient and detail-oriented communication with internal and external parties.
