Position Overview
We are seeking a part-time Office Manager & Finance / Admin Support for our Vancouver office. This role is perfect for individuals looking to re-enter the workforce, especially parents who require a schedule that aligns with school hours and holidays (Winter, March, Summer).The Office Manager & Finance / Admin Support will be responsible for overseeing office operations, managing administrative tasks, and supporting our finance and recruiting activities etc.
Work Schedule- Hours: Main hours 9:30 AM - 2:30 PM
- Location: Vancouver (100% in person)
- Holidays: All BC statutory holidays, plus school holidays (Winter and March breaks, July & August) and professional development (Pro-D) days off.
Responsibilities
The following is an example of main responsibilities:
- Consultant Resource Support: Support the Resource Manager by laying out options for new projects, ensuring that the list of proposals and potential opportunities is up to date and flagging where capacity exists in the consulting team prior to that being available.
- Consultant Time to Plan: Comparing time allocated to projects: actual to plan and highlight deviations for managing partner
- Recruiting Support: Assist with the recruitment process, including posting job openings, scheduling interviews, and onboarding new employees.
- Revenue Management: Review and manage revenue, produce reports (revenue by clients, consultant, partner, etc.).
- Office Duties: Manage office supplies, coordinate maintenance of office equipment, and ensure the office environment is organized and professional.
- Personal Assistant: Provide administrative support to senior management, including scheduling, correspondence, and travel arrangements.
- Event Planning: Coordinate and organize office events and meetings, including catering and venue arrangements.
- Policy Implementation: Ensure office policies and procedures are followed, and update as necessary.
- Data Management: Maintain and organize office files and records, both physical and electronic.
- Vendor Management: Liaise with external vendors and service providers to ensure smooth office operations.
- Flexibility: Adapt to a variety of tasks and responsibilities as needed.
- Bookkeeping: Maintain accurate financial records, manage accounts payable and receivable, and handle payroll.
- GST and Corporate Tax Installments: Ensure timely filing and payment of GST and corporate tax installments.
Requirements
What Are We Looking For- Finance Background: Proven experience in bookkeeping, GST, corporate tax installments, and revenue management.
- Administrative Skills: Strong organizational and multitasking abilities, with attention to detail.
- Communication: Excellent written and verbal communication skills.
- Technical Proficiency: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and accounting software.
- Problem-Solving: Ability to troubleshoot and resolve issues independently.
- Team Player: Ability to work collaboratively and create an inclusive environment.
- Time Management: Effective time management skills to handle multiple tasks efficiently.
- Eligibility: Must be eligible to work in Canada and onsite. Our Vancouver office is located in Yaletown.
