Administrative Assistant & Office Manager, Bilingual

Adecco is currently recruiting an Administrative Assistant & Office Manager. This is a permanent role. This is an on-site opportunity with our private client located in Ottawa, ON (Gloucester area)
The Administrative Assistant & Office Manager, Bilingual will have the following responsibilities:
- Coordinate and finalize management presentations.
- Organize and schedule meetings and appointments.
- Arrange and book travel, if needed.
- Submit and reconcile expense reports.
- Complete variance reports.
- Monitor office expenses against the budget.
- Support bidding and proposal processes.
- Greet and assist office visitors.
- Maintain professional communication (face-to-face, phone, and email).
- Handle office tasks (phone calls, meetings, office supplies, liaise with suppliers, clients, management and other stakeholders).
- Anticipate needs to ensure a positive experience for others.
- Show flexibility by putting in extra time for urgent matters.
The Administrative Assistant & Office Manager, Bilingual must meet the following mandatory requirements:
- Minimum of 5 years of experience as an Administrative Assistant/ Office Manager in a fast-paced environment.
- College degree in business, or related studies.
- Fluently bilingual in French and English (written, spoken, and reading).
- Strong proficiency with Microsoft Office.
- Advanced skills in Microsoft Excel, including reporting, document creation, and calculations.
- Proven experience in a support/administrative role requiring a high degree of teamwork.
- Excellent time management skills with the ability to multitask and prioritize work.
- Attention to detail and strong problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning abilities.
- Proven experience working with bid/proposal documentation.
- Experience working in a unionized environment.
