Position Overview:

We are currently hiring for a Legal Assistant with our Legal and Court Services department. This position will report to the Manager of Prosecutions and Court Facility Operations and will focus primarily on supportive and administrative functions associated with the Prosecution Section of the Court Services Division.

Key duties and responsibilities
  • Provide legal assistance to the Manager of Prosecutions/Court Facility Operations, Prosecutors, and the Assistant Prosecutors.
  • Report all applications and prosecutorial conflict matters to the manager and ensure information is updated regularly for the Province’s Annual Report.
  • Ratify time sensitive documents on behalf and under the instruction of the Prosecutors and Assistant Prosecutors, in their absence.
  • Conduct legal research for the department.
  • Prepare and complete final dispositions for court dockets.
  • Schedule pre-trial meetings for the prosecutors.
  • Maintain general email inbox inquires related to the sectional guidelines.
  • Complete administrative duties such as answering phones, filing, faxing, and maintaining office supplies.
  • Entering data into the CAMS software and review information on ICON.
  • Supplying support to Assistant Prosecutors with disclosure requests, Notices of Motions and Charter Applications.
  • Notify prosecution witnesses of in-court proceedings.
  • Conducting front wicket duties.
  • Prepare disclosure for Part 3, Red Light Camera and Automated Speed Enforcement charges.
  • Prepare, file, and serve prosecution documents as per legislative requirements.
  • Liaise with court services stakeholders on behalf of the Section and the Manager of Prosecutions and Court Facility Operations as needed.
  • Maintain, record and document Red Light Camera and Automated Speed Enforcement charges for the Section.
  • Other duties as assigned.
Qualifications and requirements
  • Completion of a certificate program, diploma Program or degree in a law related field (e.g., paralegal, law, business etc.) or related discipline.
  • Experience (2-3 years) as a legal assistant/law clerk/paralegal focusing primarily on the Provincial Offences Act, Municipal By-Laws, and other statutes applicable by law.
  • Excellent customer services skills with the ability to resolve customer enquiries in an effective manner.
  • Ability to effectively work independently and in a team environment.
  • Excellent verbal and written communication skills with the ability to communicate in a professional manner with all levels of city staff and court services stakeholders.
  • Ability to work in an accurate and efficient manner; detail oriented with a high level of accuracy.
  • Excellent organizational skills with a high efficiency in task prioritization.
  • Advance skills in Microsoft Office (Word, Excel, Outlook, and PowerPoint) and Adobe Pro.
  • Proficiency in additional court and corporate software programs including CAMS, ICON, Kronos, AIMS and Evidence.com.
  • Candidates with equivalent education may be considered.

Hours of work

35 hours per week, Monday through Friday between the hours of 8:30 am – 4:30 pm.

Pay/Salary

Non-Union Grade 2: $57,964.69 - $72,455.87
