Our client is looking for an experienced Administrative Assistant to work in their busy, fast paced environment. The Administrative Assistant will be responsible for providing support to Manager and their team ensuring the related administrative functions run smoothly and efficiently.The work of the Administrative Assistant will involve maintaining the confidentiality of information, displaying a high degree of accuracy, attention to detail, and working well under pressure. Please note this is an interim temporary opportunity that starts immediately.
Some of the responsibilities for the Administrative Assistant job opening in Toronto, ON may include but are not limited to:
- Scheduling of staff; heavy scheduling and calendar management
- Organize and attend meetings including all related logistics for set up and tear down (such as catering, taking meeting minutes, equipment set up etc)
- Report and document creation utilizing MS Office programs
- Database updating and documenting; filling and other related tasks
- Reconciling of reports and documents to ensure updated information is at hand
- Provide phone support; liaise with internal teams, vendors and clients in a professional presentation
- Support the department/office payroll (training provided but must be numbers-oriented
- Be able to change priorities and gears quickly while being a full team player to support and work with other departments/staff
- Perform other administrative and clerical duties as assigned

- 2+ year of direct Administrative Assistant experience; preference to those who have worked in healthcare/medical arenas
- Excellent communication skills, both verbal and written
- Advanced skills in Microsoft Word, Excel, and Outlook; quick and accurate typing skills including ability to take meeting minutes
- High level organizational skills and attention to detail
- Strong prioritization, ability to meet deadlines and handle multiple demands while being able to adjust to changing priorities

- High level of discretion with confidential matters
