www.uhn.ca The Administrative Assistant II exercises judgement and independence in the performance of administrative support to the department. The principle responsibilities include: responding to requests for information and channel communication to the appropriate person(s); communicating effectively with patients, team members and internal and external stakeholders; preparing reports including letters, insurance forms, memos, agendas, spreadsheets using advanced functions of Microsoft Office; maintaining written and/or electronic calendar/schedules; administering and monitoring billing procedures; booking, coordinating and scheduling appointments, cystoscopy procedures, medical imaging appointments, surgeries and preoperative appointments, meetings, rooms, etc.; sorting faxes, placing them in triage folders; forwarding information to physician respecting patient confidentiality and privacy including retrieval of release of information documents as necessary; organize prescription renewals for pharmacies by phone and fax; sorting physician mail; collecting/compiling data as needed; work collaboratively with other administrative support staff; managing program specific data bases; understanding of, compliance with, and commitment to, patient safety responsibilities and corresponding hospital plans, policies and procedures in order to ensure a safe environment for patients; other related administrative duties, as requested by the Managers.
