AREA OF RESPONSIBILITY:

The Cultural Planning Coordinator is a key member of the Cultural Services Division, serving as a bridge between the City and the Brampton arts community. They are responsible for facilitating communication and collaboration, that supports the City’s vision for arts and culture as a vital component of building a vibrant, sustainable and livable city.

Reporting to the Manager, Culture Planning and Partnerships, this role will deliver partnership programs to support Brampton’s creative community of practice; coordinate arts granting programs; facilitate relationship management and partnership development, lead community relations, and maintain portfolio administration in alignment with corporate policy.

  1. Partnership Programs and Community Building
  • Coordinate City-led partnership programs for the arts community, developing Brampton’s creative community of practice, celebrating their work and administering access to City supports and services.
  • Collaborate with stakeholders to ensure that programs are inclusive and represent the community’s diversity.
  • Cross-departmental collaboration with Tourism and Events to recognize and celebrate the work of Brampton’s creative community of practice in driving tourism and civic celebrations.
  • Collaboration with the Brampton Arts Organization, to ensure programs are complementary in objectives and audiences.
  • Regularly review program criteria and offerings, provide recommendations to leadership for improvements, and implement approved changes.
  • Build a community network through sustained engagement of program participants.
  • Monitor and evaluate the success of partnership programs, collecting data to assess and support the preparation of reports on their impact.
  1. Arts Granting Programs
  • Serve as the arts community’s point of contact for arts granting programs within the City.
  • Regularly review grant criteria, recommend criteria adjustments to leadership and implement approved changes.
  • Facilitate information sessions and provide guidance to applicants.
  • Review applications for eligibility, facilitate customer service outreach to rectify minor issues.
  • Recruit and train evaluators and facilitate evaluation processes.
  • Participate in allocations processes and support the development of funding recommendations for approval.
  • Communicate with applicants regarding the outcome of their applications. Provide opportunity for feedback and facilitate contracting with successful applicants.
  • Maintain engagement with arts grantees throughout the duration of grant cycles.
  • Attend events, programs and projects of arts grantees where possible, representing Cultural Services.
  • Monitor and evaluate the success of arts grants, collecting data to assess and support the preparation of reports on the impact of arts funding.
  • Develop and implement new arts grants and related opportunities as directed by leadership.
  1. Relationship Management and Partnership Development
  • Proactively gather knowledge regarding participants in the arts community, making contact and building relationships.
  • Build and maintain a database of arts community contacts and track relationship management.
  • Maintain consistent engagement with key stakeholders, fostering trust and collaboration.
  • Identify potential partnership opportunities between arts community contacts and the City, brokering further discussions as appropriate.
  • Host Cultural Services meetings for the arts community, providing updates on City business and a platform for engagement and sector discussion.
  • Support leadership in relationship building and management with broader sector stakeholders and other levels of government and non-governmental organizations.
  1. Community Relations
  • Coordinate with Strategic Communications staff and other staff as required to promote partnership programs, arts granting programs, and other key initiatives.
  • Develop materials and collateral to support promotions.
  • Undertake research and outreach to identify and engage underrepresented groups and strategically increase program interest and participation.
  • Serve as a spokesperson or representative for Cultural Services at community events, raising awareness of the division and its role in supporting arts in Brampton.
  • Represent Cultural Services on boards, committees, working groups and at meetings, providing municipal updates and facilitating dialogue between the City and arts community.
  1. Administration
  • Maintain organized and up-to-date program files in alignment with corporate records retention policy.
  • Prepare reports, briefs, presentations, and other materials as required.
  • Manage vendor procurement in accordance with corporate policy and oversee vendor performance in delivering products and services to support program operations.
  • Manage staff to support program operations, including scheduling, training and performance review.
  • Monitor and track program budgets within approved authority.
  • Support the annual operating and capital budget submission process.
  • Perform other related duties as assigned.

SELECTION CRITERIA:

EDUCATION:

  • Post-secondary degree in a related discipline (i.e. Arts, Arts Administration, Public Relations) or a combination of education and experience.

EXPERIENCE:

  • 3-5 years of relevant work experience in a related field.

OTHER SKILLS AND ASSETS:

  • Excellent relationship building and management skills, with a high level of political acuity.
  • Excellent communications skills, with ability to speak, write and present to a wide variety of audiences.
  • Experience coordinating partnership and/or grant programs.
  • Experience planning and facilitating meetings and events.
  • Ability to creatively and strategically identify program and partnership opportunities, and effectively broker conversations to explore them.
  • Ability to effectively oversee and direct program teams.
  • Excellent time management skills with ability to prioritize responsibilities and meet deadlines.
  • Strong organization and data management skills.
  • High levels of initiative, with ability to work independently and as part of a team.
  • Multi-lingual skills are considered an asset.
