On behalf of our client, we are looking for a highly organized and proactive Executive Assistant to provide top-tier administrative support to senior leadership. This is a Contract position based in Toronto, Ontario, requiring excellent communication skills and attention to detail.
The ideal candidate will excel in managing schedules, coordinating meetings, and handling confidential information with discretion.
Responsibilities:
- Manage and maintain executive calendars, ensuring efficient scheduling of meetings, appointments, and events.
- Coordinate and organize conference calls and virtual meetings using platforms such as Cisco Webex.
- Prepare and edit correspondence, reports, and presentations with a high level of accuracy.
- Handle travel arrangements, including booking flights, accommodations, and processing expense reports through systems like Concur.
- Oversee timekeeping and payroll processes using tools such as Kronos and About Time.
- Act as the primary point of contact for internal and external communications, ensuring timely and attentive responses.
- Maintain and update CRM systems to ensure accurate and up-to-date records.
- Assist with financial services tasks, including budget tracking and invoice processing.
- Provide support during team meetings by preparing agendas, taking minutes, and following up on action items.
- Ensure confidentiality and a high level of attention to detail in all interactions and tasks.
