Shift Time: 8:00am to 4:30pm (In-Office)

Terms: Permanent Full-Time
Salary: Competitive, based on experience

Reports To: Director of Administration

Job Purpose:

To ensure the company adheres to all relevant laws, regulations and internal policies in relation to acquiring & maintaining certifications, and efficient processing of customer and vendor claims.

Duties & Responsibilities:

  • Support company Objectives and Key Results (OKRs) by proactively contributing to initiatives that drive strategic goals and organizational success
  • Working with all departments to maintain, update and improve our ISO 9001:2015 & ISO13485, and working on obtaining future accreditations
  • Ensure reporting is accurate and up to date for all internal and external programs
  • Lead the internal audits for ISO and GDP.
  • Schedule and liaison with external auditors
  • Monitoring, maintaining, and improving all Quality processes and reporting
  • Ensuring our compliance/participation with organizations including: PIP/CTPT
  • Collaborate with managers to ensure process and policies are being adhered to including tracking staff training as it relates to ISO and GDP.
  • Creating and documenting new processes as the arise.
  • Maintaining all controlled documents
  • Assessing freight claims, including working with customers and carriers to settle claims in a timely manner
  • Claim filing and following up with insurance companies and all stakeholders involved
  • Providing guidance on the requirements of applicable claim documentation and following up to ensure compliance
  • Organizing and maintaining claim files and records and preparing and distributing reports
  • Work directly with insurance company on annual review and renewal of company insurance policies.
  • Reporting and reviewing company KPI reports with department leaders

Professional & Educational Background:

  • 5+ years’ experience within a Compliance role
  • Previous experience within the Third-Party Logistics or Freight industry is considered an asset
  • ISO Training certification
  • Familiar with / or training in GDP compliance

Skills & Ability:

  • Communication: Has good listening skills and communicates effectively in both written and verbal formats including proficiency in spelling, grammar, and punctuation.
  • Organization: Must be highly organized and have a strong attention to detail
  • Multi-tasking: Must have strong multi-tasking abilities, be proactive and adaptable based on the needs of our clients.
  • Problem-solving: Strong ability to ‘think outside the box’ when dealing with complex requirements
  • Negotiation: Can influence and persuade through positive communication when dealing with parties involved.
