Job Description:
Reporting to the Manager, Document Control & Asset Information within the Projects organization, the Document Control Lead will coordinate and monitor daily activities of the Document Control team members, ensuring control, versioning, population, and governance of project and asset documentation in support of a wide variety of stakeholders and AltaLink Capital and Maintenance projects.This position will be responsible to establish, implement, and maintain standards, templates, business processes, and work procedures related to AltaLink’s document management system and methodology. The successful candidate will be expected to build strong relationships within Projects, Operations, external contractor companies and Information Services teams while also working collaboratively with a variety of other internal and external stakeholders on ad hoc requirements.
They will also be innovative, open to an evolving environment and willing to embrace new technology in meeting business needs.
Responsibilities:
- Coordinate and monitor the Document Control team’s daily work activities, organizing resources across multiple task areas.
- Provide guidance, mentorship and problem-solving support to team members; proactively offer expertise and development opportunity to the team to maintain and increase bench strength.
- Establish and maintain collaborative relationships between document control, project and operational teams, and internal and external stakeholders, ensuring all documentation is captured, accurate, complete, and actionable.
- Demonstrate a strong focus on continuous improvement relating to business processes and systems; proactively identify opportunities for efficiency and automation gains; recommend and lead process enhancements and solutions.
- Identify, develop and roll-out training, as required, to applicable stakeholders as it relates to existing and new document management processes and initiatives.
- Develop, implement, monitor, and adhere to standardized document control procedures, QA procedures, and engineering standards.
- Perform Subject Matter Expert role for document management system; provide business level software application support to team and stakeholders as required.
- Determine and understand the impact of application changes on business process and engage change supports as appropriate; implement new technology to optimize and improve work delivery.
- Develop status and progress reports; implement and maintain key performance metrics reporting related to document management activities.
- Ensures timely transfer of electronic files/hard copy documentation to/from clients and contractors/sub-contractors etc., in support of project entities and regulatory submissions.
- Minimum High School Diploma plus seven years of related experience. Related post-secondary courses is an asset.
- 3+ years of experience in a lead role is an asset.
- Proven ability/experience in the above noted responsibilities.
- Strong leadership qualities, ability to mentor others, and capable of building effective relationships within Projects and Operations and with internal and external partners and stakeholders.
- Ability to guide, coordinate and support a team of document control professionals.
- Demonstrated ability to organize, plan and implement new processes and/or systems.
- Creative problem solver able to identify, analyze, and communicate potential delays and issues, recommending options for their resolution.
- Ability to work under pressure within tight deadlines, managing competing and changing priorities with minimal supervision.
- Familiar with engineering terminology/nomenclature and documentation with ability to become a subject matter expert for the team.
- Proficient with computerized document management systems with ability to become a subject matter expert.
- Proficient with Adobe Acrobat Professional and Microsoft Office Suite, specifically including Word, PowerPoint, M365, Sharepoint and Visio.
- Advanced Microsoft Excel skills, including the ability to work with pivot tables, formulas, queries, etc.
- Demonstrated interest and ability in working with and implementing software (e.g., Power App) solutions for document tracking, reporting and process workflows.
- Effective communication and interpersonal skills to interface with team members and customers to promote positive customer outcomes.
- Proven track record of good attendance and performance.
