Financial Payments Coordinator

Public Works – Transportation Maintenance

Contract Full-Time; 13 Months

Salary Range: $67,772 - $84,714 per annum

Work Mode: In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve.

This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.

Location: 2 Copper Road, Brampton, ON.

Hours of work: 35 hours per week

The role:

The Coordinator, Financial Payments provides senior administrative and technical support to the Manager, Supervisor, Project Managers, and technical staff, assisting with project financials, accounting, invoicing, and payments.

What you’ll do:

  • Generate and format reports, forms, documentation, and correspondence according to standards while maintaining confidentiality.
  • Process payment certificates and invoices for capital and operating projects.
  • Liaise with senior financial analysts, accounts receivable, accounts payable, and purchasing on various financial-related matters.
  • Update and ensure accuracy in tracking project status, including PM assignments, close-outs, and under-maintenance start/end dates.
  • Conduct tender analysis for in-house projects and prepare the "Schedule of Unit Prices" in MS Excel as back-up for progress payment certificates.
  • Generate and format reports for monthly meetings or on an ad hoc basis.
  • Assist with tri-annual and year-end projections and reporting, focusing on accruals and cash flows.
  • Complete contract progress reports for insurance surety companies.
  • Generate requests for purchase orders, requests for cheques, and other financial transactions.
  • Perform journal entries from various accounts between projects.
  • Ensure that adequate back-up and necessary documentation, such as WSIB clearance certificates and substantial performance documents, are provided.
  • Assist in preparing legal, tender, or technical documents as assigned by the Manager.
  • Performs other duties as assigned based on operational needs.

What we require:

  • Community college diploma and/or post-secondary courses in Administration, Business, and/or Project Management, plus a minimum of five years of related experience.
  • Excellent verbal and written communication skills to interact effectively with staff at all levels.
  • Strong mathematical aptitude, information-gathering, and problem-solving skills, with demonstrated financial experience.
  • Excellent computer skills, including proficiency in MS Outlook, Word, Excel, and PowerPoint.
  • Knowledge of Computerized maintenance Management systems (CMMS) such as Hansen
  • Strong organizational skills with effective and efficient time management abilities.
  • Ability to work independently in a self-directed manner within a collaborative team environment.
  • Knowledge of municipal financial processes, procedures, and project management needs would be an asset.
